Become a Virtual Assistant
Have you ever considered whether you have the skills to become a virtual assistant?
A virtual assistant is a person who takes on part of the workload of a business or businesses, whilst staying in their own home or home office. Virtual assistants handle incoming phone calls and answers emails, as well as perform data entry and a myriad of other accounting, administrative and related business assignments. This allows the business owner the time to concentrate on the more critical aspects of running their business. It’s a bit like a secretary, PA or assistant in a real office, but performed virtually!
But if I were to become a Virtual Assistant would there be any work for me? Consider this: no matter how much work must be done in one day, there are only twenty four hours in which it can be completed. This is further complicated by the human needs of eating, sleeping among other things. Even for the most avid workaholic, squeezing out enough time to get all of a business’s needs taken care of can be a daunting task. Now consider a business where there is a workforce of only one, the owner. There are thousands of home businesses which are run by one solitary person who attempts to take on all of the tasks required to keep the business running. Many of these businesses have begun to use Virtual Assistants (VA) to relieve the workload, and increase productivity, which in return increases profits.
One of the more appealing aspects of being a virtual assistant is that there are so many different tasks which can be handed to them. It is entirely possible that the job can encompass any task which can be attributed to running a business, therefore the job is very fluid in the work given, and seldom gets to be routine. Most virtual assistants have multiple clients at any given time, so their work schedule is always full.
Tools of the Trade
The successful VA will handle a wide variety of tasks, and will need equipment adequate to handle whatever comes their way. It goes without saying that you’ll need a good computer to work on, as well as a high speed internet connection.
If you were to become a Virtual Assistant a separate land line phone is essential for working from home. Many businesses insist that you use one, or they will not hire you. The land line should be a separate dedicated phone line with no extra features such as call waiting, which could interrupt phone calls. You should also be prepared to have a corded phone and not use a cordless phone. The reason behind having a land line phone service connected to a corded phone is security. Being a virtual assistant you may take phone calls in which you will handle sensitive information such as in the instance of taking phone orders in which you will ask for an individual’s address and credit card number. A land line connected and corded phone is much more secure and is therefore a necessity.
If you intend to make being a virtual assistant a real business, then you should also be prepared to invest in broadband Internet service if you already do not have it. Your clients will want their files as quickly as possible and some of them can get quite large. Having a dial-up Internet connection will slow down the transfer of these files both on download and upload.
You’ll also find that the majority of businesses use the Microsoft Office software for nearly all of their business needs. Two of the most frequently used programs in Microsoft Office that is used by businesses are Microsoft Word and Excel. There will be instances when you may need to create a PowerPoint presentation or even create an Access database, so Microsoft Office is a must-have tool for the serious virtual assistant. When you first start out you may be able to get by with using the open-source software known as Open Office, which is a software program available free for download that mimics Microsoft Office.
If you are comfortable using other types of software which may be beneficial to businesses such as an HTML editor or even a graphics program like Photoshop and can use them well, then you will want to list them as services as well. By all means you should always list your strongest skills as your main services provided, but if you would like to make yourself a truly indispensable service to your clients, then you should take the time to expand your skill set when the opportunity arises.
Self Promotion
Now that you have all of the requirements fulfilled to actually offer yourself as an asset to other businesses, you will need a front man who will work for you around the clock promoting your services. Your front man will be your company web site. If you want to look truly professional to prospective clients you will need to set up your own web site which outlines in detail the services that you are qualified to offer. The site should also have your contact details conspicuously displayed so that there is no guessing on how to hire your services.
You will want to promote your new virtual assistant business at any given chance or opportunity. Don’t be afraid to spread the word that you are in business to help other businesses. You can use online ads as well as local classified ads to advertise your services. Remember that since you are a virtual assistant, you can work for anyone No matter where they are located. Being a virtual assistant puts you at a distinct advantage over other businesses because you are not limited by geography, thus making you available for nearly any business anywhere.
Think out-of-the-box when it comes to promoting your virtual assistant business. Don’t just limit yourself to local classified ads, use other classified sites on the Internet such as Craig’s list. Take the time to visit online forums and join the forums which seem to have a lot of activity. A lot of online forums allow you to have a forum signature file that you can use to promote your business. You can also add your business to your e-mail signature file. Think creatively and look at everything as an opportunity for your new business to make itself known, and you will soon reap the rewards of your effort.
Being a virtual assistant is a very rewarding career for those who are business minded and have a knack for keeping things organized. It’s quite possible that you already have the expertise required, and the software installed on your computer needed to begin your new business venture.
